Qantas Virtual Group Pilot Manual

1. Introduction

1.1 These Terms and Conditions form the basis of the Qantas Virtual Group. They are intended to protect both Members and the Qantas Virtual Group. It is the Member's responsibility to read and understand them.

1.2 These Terms and Conditions are effective from the date specified above and may be amended by the Qantas Virtual Group from time to time. The current Terms and Conditions are those available at ifqantasvirtual.com. Members will be provided with a copy of the Terms and Conditions at the time of joining the Qantas Virtual Group and material changes will be notified to Members in accordance with clause 3.2.

1.3 Every Member is bound by these Terms and Conditions.


2. Definitions

2.1 In these Terms and Conditions unless the context otherwise requires:

'Active Member’ at a point in time, means a Member who has filed a Pilot Report (PIREP) within the previous consecutive 30 day period from that point in time;

'Anniversary Month’ is the month during which a Member joined the Qantas Virtual Group, irrespective of the year;

'Jetstar Virtual’ means each of Jetstar (JQ), Jetstar Asia (3K), Jetstar Japan (GK) and Jetstar Pacific (BL);

'Member’ means a person who is a member of the Qantas Virtual Group;

'Membership’ means membership of the Qantas Virtual Group;

'Membership Account' means the record of a Member's Membership, which is available to the Member online at ifqantasvirtual.com;

'Anniversary Month’  is the month during which a Member joined the Qantas Virtual Group, irrespective of the year;


3. Membership

3.1 Membership of the Qantas Virtual Group is open only to individuals. Membership is not open to families, groups, companies, trusts, partnerships, other entities, government departments, agencies, animals or inanimate objects.

3.2 Persons wishing to become Members must apply for Membership. Membership is offered at the discretion of the Qantas Virtual Group. The Qantas Virtual Group has the right to accept or reject any application for Membership.

3.3 Each Member may have only one Qantas Virtual Membership Account

3.4 Successful applicants will be assigned a Membership number. The Membership number along with other confidential information, will be used for security of the Member's Membership information. It is the Member's responsibility to ensure that their password and other security information are kept secure. Note: to ensure your password is kept secure, never write it down and, if you change your password, avoid choosing obvious numbers or phrases.

3.5 Members may, at any time, cancel their Membership by providing written notice to the Qantas Virtual Group. Cancelling Membership will also terminate any features associated with the Qantas Virtual Group.


4. Member Obligations and Responsibilties

4.1 Members must not:

(a) act in a way which breaches these Terms and Conditions
(b) abuse or misuse the Qantas Virtual Group any Benefits, facilities, services or arrangements accorded to the Member as a result of Membership including by:

(i) engaging in illegal or fraudulent activities;
(ii) supplying or attempting to supply false or misleading information, or making a misrepresentation to a Qantas Virtual Group Company or any oneworld Member Virtual Airline, Virtual Airline Partner or Non-virtual airline Partner;
(iii) acting in a hostile, abusive or aggressive way towards any Qantas Virtual Group Company staff or the staff of any oneworld virtual Member Virtual Airline, Virtual Airline Partner, or Non virtual airline Partner;
(iv) acting in an unruly manner in any community environment where you may represent the Qantas Virtual Group; or
(v) refusing to follow reasonable instructions from any Qantas Virtual Group Company staff or the staff of any oneworld virtual Member Virtual Airline, Virtual Airline Partner or Non virtual airline Partner.


5. Suspension or Termination of Membership

5.1 If a Member has committed a material breach of any of the Terms and Conditions or has failed to file a Pilot Report by the due date, whether intentionally or otherwise, then the Qantas Virtual Group may do any one or more of the following:

(a) suspend or terminate the Member's Membership;
(b) reverse or cancel the Member's Rewards Points, flight hours or any part thereof; or

5.2 If the Qantas Virtual Group intends to take action under clause 5.1, it will notify the Member of its intention and the reason for that action. The Member will then have 14 days to respond to the notice by rectifying the breach (where possible) and providing any reason why the Qantas Virtual Group should not take action (provided that the Qantas Virtual Group may suspend the Member's account and cancel any flight hours, pilot reports or points until any review is completed). The Qantas Virtual Group will review the response and advise the Member of its decision.


6. Personal Information

6.1 Each Member acknowledges that the Qantas Virtual Group collects, uses and discloses information about the Member, in order for the Qantas Virtual Group to provide the Member with the Benefits and administer the Qantas Virtual Group services and to undertake the activities further set out in this clause. The information about such use in this clause x should be read alongside the Privacy Policy available on the Qantas Virtual Group website, which contains more detailed information about how a Member’s personal information is processed.

6.2 If the Member does not provide all or any part of the requested information, the services provided to that Member by the Qantas Virtual Group, and the Benefits that the Member receives, may be affected or denied.

6.3 The Qantas Virtual Group collects personal information about each Member:

(a) to enable the Qantas Virtual Group to market services to the Member, including the services of the Qantas Virtual Group partners and other third parties who the Qantas Virtual Group believes may have products and services in which the Member would be interested. This is one of the primary purposes of the Qantas Virtual Group Membership;
(b) to improve the Qantas Virtual Group website and services, including by means of product development and market and behavioural research; and
(c) for operational management of the Qantas Virtual Group.

6.4 The Qantas Virtual Group may collect the Member’s personal information from the Member directly, including during a Member's interaction with the Qantas Virtual Group websites or services or when the Member is logged into their Qantas Virtual Group account. The Qantas Virtual Group may also collect the Member’s personal information from third parties, The Qantas Virtual Group's related bodies corporate and Jetstar Virtual branded entities, partner virtual airlines and third parties providing services for the Qantas Virtual Group.

6.5 For the reasons described above, the Qantas Virtual Group may disclose a Member’s personal information to:

(a) any third party providing services for the Qantas Virtual Group, including assisting the Qantas Virtual Group in determining a Member’s eligibility for, and providing, the Qantas Virtual Group services (including services available to members), administering the service we provide, providing market research and marketing services, and assisting with the prevention and detection of fraud;
(b) other third parties, such as law enforcement agencies and courts, in order to comply with its legal obligations or in connection with a legal claim or in response to a validly served and executed court order or subpoena.

6.6 Marketing consent: By becoming a Member, the Member provides their express consent to the Qantas Virtual Group:

(a) sending the Member marketing communications including via email and advertising or other digital means, including:
(i) news and updates for the Qantas Virtual Group Members

6.7 The Member can opt out of receiving all or any of communications listed above:

(a) for email advertising by updating their email preferences through email communication the Qantas Virtual Group sends;

Opting out of these communications will impact the Qantas Virtual Group's ability to provide the Member with all the services and benefits that would otherwise be available to the Member as part of Membership.

6.8 This clause 6 survives the termination of these Terms and Conditions and the termination or suspension of the Qantas Virtual Group.

7. General
